I hope this message finds you well. We are hosting an event focused on career growth and mastering the art of interviews, and I would like to invite you as a guest speaker. Given your impressive track record in navigating successful interviews, your insights would be invaluable to our attendees.
A little but about me - I am Sumana, a GrowthX member. GrowthX is a community-led, curated learning experience made for founders, growth operators and anyone who thrives to have traction in their career. We conduct events in various cities that are attended by GrowthX members for either networking or learning.

- Give it 3 days to see how many responses trickle in. Thank them for their interest and share more information about GX and how their presence can help attendees. Schedule calls with them to further discuss the topic, agenda and the audience. Give them a day's time to confirm if they want to talk at our event.
- 2 speakers have said yes. Now ask for their available weekend dates (time would be our call solely between 4 to 7pm) in the next 30 days. Choose a suitable date out of the ones given by the speaker.
- Also, on the topic 'Navigating your career in a growth-focused world' , ask them to send some sub-topics that they will touch upon during the event.
- Once everything (date, time, topic) looks good, document it on email and finalize.
- Block your calendar.
- To the speaker you are not selecting/have not heard back from during this process - thank them and promise to keep in touch.

- Call and ask for fees for 2-3 hours between 4 to 7pm. OR check out their website(in case of WeWork) and book through the same.
- If payment is to be made online, do it and save the invoice. Else, do it there and keep the invoice.
- Also, ask if F&B is allowed in the conference room. If not, then if there is a space dedicated for refreshments.

- Ask GX team for a payment link and share it on the Slack channel on the same message. Give 48 hrs before the first push.
- Make sure the payment includes the working space fee + F&B
- Also, ask the guest to share it on their Linkedin for an added boost. If the guest is running a newsletter, they can also mention the event in their next publish.
- If the guest can share a small video on - what to expect in the event and ask members to join the session, it would be a good boost. I can share the video on the channel for continued promotion.
- More creatives in the above template with copy saying - 7 days to go, 5 days to go can keep the excitement alive.

- If I get 15 reacts, I can target 12 payments in the next 48 hrs. If this number is not reached, remind on the slack channel.
- If still not reached, can share a quick reminder on DM of the members who had reacted yes.

- share final details such as date, address, venue details such as valet availability, guest speaker, topic, what the attendees should bring such as notepad, pen etc and ask members to coordinate there
- also ask members if they want the speaker to talk about a certain topic that would be helpful for the cohort. I can share that across to the speaker.
- Keep sharing creatives - 7 days to go, 5 days to go - so that members do not forget about the event.
- Call the co-working space twice - 3 days in advance and 1 day before D-day to confirm again.
DAY OF THE EVENT
- Coordinate on slack since morning. Send a reminder again.
- Coordinate with the speaker.
- Be the first to arrive at the venue and speak to the staff in case I want to change the table/seating area chosen for us.
- Once the speaker and all the confirmed members have arrived, kick off the event.
- Introduce the speaker, give them a warm welcome and give the stage to the speaker.
- Monitor the event
- Make sure F&B is arranged on time . Since its a co-working space, place an order with Zomato on time, collect the food and arrange it on a side table.
- Facilitate a Q&A if the speaker forgot to do it themselves.
- Follow the timeline (2 hrs or 2.5 hrs whatever had been communicated)
- Take some photos while the speaker is taking the session and some videos.
- Take some photos after the session is over.
- Thank attendees and encourage them to share feedback on the slack channel
- If the payment is pending to the working space, handle the billing and get the invoice.
AFTER THE EVENT
Socials and managing finances
- Create a buzz around this event on LinkedIn and slack channels by sharing some photos and, shoutout to the speaker and the attendees.
- Encourage the speaker to share their own thoughts on Linkedin
- Share highlights of the session on LinkedIn
- Create a typeform or get help from GX team to create a form for feedback. Share it on the city channel to receive feedback.
- Settle reimbursements if any, with GX team.
- Create a note of key takeaways from the event. Positives should be repeated next time and ensure the negative ones do not happen again.
